When it comes to project management tools/software – the choices seem practically endless.
Of course, if you know me at all, you know that ClickUp is my fave – and the reasons for this are many. It has an excellent free version! (Yes, you heard that right! FREE!) It can easily grow with you and your business. And it has soooooo many features!
And it’s the features that I want to talk about today!
ClickUp has a TON of features.
In fact, they have so many features that reviewers of the software often consider it a “con” when they’re doing their pros and cons list. But I don’t look at it that way at all. Yes, there are a lot…but no one says you have to use ALL the features ALL the time. As you and your business grow, you can start incorporating more and more of the features into your ClickUp project management space.
Because ClickUp is able to grow with you and your business – which, as I said before – is one of the reasons I love it.
Of course, there are some features that I just love in ClickUp and that I like to share with my clients. These features often bring about “Really? It does THAT?!” or “WOW! I didn’t know about that!” moments – which are fantastic!
Here are my Top 10!
1. Dashboards
Do you wish you had a way to quickly see upcoming tasks? Or maybe see the progress on a particular project for a client? What about checking on the workload of your employees to see if they’re overwhelmed or could take on more? You can do that in ClickUp.
ClickUp’s dashboards are a great way to get an overview of your tasks and projects. By default, the dashboard shows you all of your upcoming tasks, but you can also add widgets to show you things like overdue tasks, assigned tasks, or tasks that are due soon. You can also customize the dashboard to show only the information that you want to see. For example, if you only want to see tasks that are due in the next week, you can add a filter to the dashboard. Dashboards are a great way to stay organized and keep track of your progress on a project.
2. Chats
I always recommend making your project management tool the hub of your business. This means keeping as much information as possible within your project management tool as possible – including chats.
ClickUp’s chat feature is a great way to stay in touch with your team and keep everyone on the same page. With ClickUp, you can easily create a chat room for each project, and invite specific team members to join. You can also use ClickUp’s chat feature to send private messages to individual team members. In addition, ClickUp’s chat feature includes a rich set of features, such as emoji support, @mentions, and file sharing. This makes it easy to add context to your conversations and keep track of important information. ClickUp’s chat feature is definitely a valuable tool for team communication and collaboration.
3. Me Mode
As anyone who’s ever tried to manage a project knows, it can be difficult to keep track of everything that needs to be done. You may have a clear picture of the final goal in your head, and have distributed tasks out to your team, but it can be challenging to keep on top of it – including your own tasks and assignments.
That’s where ClickUp’s Me Mode feature shines. ClickUp makes it easy to see all the tasks that are assigned specifically to you, as well as their due dates and priorities. This ensures that you always know what needs to be done and when it needs to be done. Think of it as your shortcut to clear away the clutter and just focus on your tasks.
4. Favorites
Lots of times, there are places within your project management tool that you frequent often – perhaps it’s a specific client list or a folder that contains everything you need for a project with a tight deadline.
ClickUp makes it easy to get to these things – and fast – with the ability it provides you to make things your “Favorite.” In ClickUp, you can “favorite” the following things:
- Dashboards
- Views
- Spaces
- Folders
- Lists
- Tasks
- Docs
- Pages
5. Goals
As a business owner, I’m sure you have goals. We all do. But how often are you checking in on them? Updating them? Modifying and adjusting them as needed? Just looking at them to remind yourself of where you want to go?
ClickUp makes it easy to create goals, set targets to help you get there and monitor your progress. You can even share your goals with members of your team so that everyone is on the same page and knows the direction your business is heading. Best of all, they are easily visible by clicking on “Goals” in your sidebar.
6. Whiteboards
Sure, whiteboards are great – except when you can’t find a marker or the ink is dry or someone erases your board before you have the time to capture everything.
But with ClickUp’s new whiteboard feature, those days are finally over! With ClickUp’s whiteboards, you’ll never have to worry about running out of ink or losing your markers again – or someone erasing all of your brainstorming! Everything you create will be captured directly in ClickUp – which means you can come in and modify or change things as needed.
7. Templates
Are there systems and processes in your business that are repeated over and over again? Are you looking for a way to easily replicate these things? Then templates are the answer.
Templates can provide a starting point for new projects, and they can be customized to fit your needs. ClickUp has a selection of pre-made templates, but the more powerful way of using templates is to create your own custom ones. This means that you can tailor your template to your specific project requirements. How great would it be to have a template that clearly shows the onboarding process for a new client? Or how to take your monthly social media from ideas to publishing? And knowing that it is specific to your business and your way of doing work – pretty priceless.
8. Filters
“Ugh! I don’t know where to begin!”
Have you ever muttered those words to yourself when you look at your to-do list? Who hasn’t?
But with ClickUp’s filters, you can segment and categorize your tasks in a variety of ways. For example, you can filter by task type, assignee, due date, or custom fields. This flexibility makes it easy to find the exact task you’re looking for, whether you’re trying to locate all of your upcoming deadlines or identify which tasks are assigned to a specific team member. You can even create Filter Views, which are essentially saved filters that can be shared with others. This is particularly useful when you need to regularly update a team on the status of a project or report progress on a specific goal. With ClickUp’s Filters, you have complete control over how you organize and view your tasks, giving you the power to customize your workflow in a way that works best for you.
9. Private Spaces/Lists
Remember when I said that your project management tool should be the hub of your business? I meant it. And that means keeping track of everything related to your business – even sensitive information.
Of course, you may not want everyone on your team to have access to this private information – especially if it’s related to financials, salaries, or human resources issues. ClickUp has an easy solution for this!
In ClickUp, there are two types of lists you can create: public and private. Public lists are visible to everyone in your workspace, while private lists are only visible to you. You can use private lists to keep track of your own personal tasks, or to store information that you don’t want to share with others.
10. “Everything”
Keeping your ClickUp space organized is essential for efficiency and improved productivity. Often, you have spaces and lists for specific clients or projects, your own marketing, operations, and client lead information.
And this is how it should be.
But what if you want to get a look at EVERYTHING that’s happening in your business at once? Perhaps you want to see everything that’s due this week or by the end of the month? ClickUp has a built-in “Everything” mode which allows you to see all of your tasks in one place. And this can be extremely helpful when you need to get a quick overview of what needs to be done and prioritize accordingly.
