Are you running an agency, or is it running you?
- You’re up late working on last-minute client work (again).
- You sent updates to your team but aren’t exactly sure when they’ll have them read.
- You forgot to send Facebook ad copy to your client…even though your contractor had it done two weeks ago.
- You sent ad copy to your designer but aren’t exactly sure when they’ll have the ads ready.
- You forgot to follow up with your client for approval, and now you need to get posts scheduled ASAP.
- Monthly reports have really become “when I have time to get them done” reports.
- And working on GROWING the agency…. HA!
Owning a digital marketing or social media agency doesn’t have to be overwhelming.
Imagine…
- Getting ahead on deadlines.
- Knowing when ad copy and graphics would be ready (and they were early!).
- Being able to see a snapshot of all your projects any time you want.
- Having an agency that was organized, efficient, and running like a well-oiled machine.
- Enjoying extra time because your team members have everything they need.
- Finally, having time to focus on growing the agency.
I spent 10 years working in agencies before owning my own business. During that time, I had the opportunity to learn best practices from industry experts, had excellent mentors, and managed millions of dollars in ad spend.
The result of that experience and knowledge? The TAPP Framework, which will take your agency from disorganized and chaotic to streamlined and efficient so you can spend less time stressing about details and more time on growing the agency (or taking a nap).
What is the TAPP Framework? It’s the missing piece that will take your agency to a whole new level.
Tools
Finding the right project management tool is CRUCIAL for an agency’s survival. When properly set up, the right project management tool will eliminate missed deadlines, stacks of notepads, and an endless list of repetitive tasks.
What tools do you currently use to run your business? Let’s identify which tools are best for YOUR agency and do a complete audit and/or setup. (And by “let’s,” I mean “me.” Let me take this off your plate.) This goes beyond tending to basic settings.
The result? Custom templates we’ll use to manage your clients and projects, so you’re never in the dark about where a campaign is at.
Agency Communication
The designer is waiting on the writer. The ad specialist is waiting on the designer. And EVERYONE is waiting on you! With so many hands in the pot, wrangling team communication is a gamechanger for wrangling deadlines.
Your team members and contractors can’t read your mind, and they don’t magically know the processes for each client. They need training on the new templates–let me take care of that. Then I’ll run team meetings and serve as the liaison between team members and you. They will go through me, and I will only come to you if I don’t have the answer.
The result? No more fielding questions and emails from multiple people, which means the peace and quiet you need to stop putting out fires and start lighting a fire in your business development.
Project Management
Advertising is like retail – you want to work a season ahead. In other words, stop asking your client what their Black Friday special is in November. And stop letting them tell you about an event the week before it goes live! Building in key dates and benchmarks (and holding to your boundaries) will keep your contractors happy and you from working all night.
We’ll build key dates and benchmarks into your project management tool templates and then use these to manage projects and make sure we’re on target to meet client deadlines and not in the eleventh hour. Designer is behind? Mitigation is a click away. Writer is taking too long? We’ll know about it. What’s even better? We’ll be able to resolve these challenges before they impact the rest of the project.
The result? Projects that run smooth as silk and on time which leads to happy clients and recurring work.
Prepare
There are no advertising emergencies. That means if you can properly manage clients, you won’t get “surprised” by campaigns or last-minute ads. I know it sounds impossible, but YOU can do a lot to banish last-minute ads and posts.
We’ll evaluate your current client onboarding process to identify where the missing threads of communication are so you can set expectations, hold boundaries, and prepare clients for doing their part in a timely manner.
The result? Your agency will be able to “lead the client” in a way that’s respectful for them…and gets you what you need on time (and without 20 reminders).
Your agency project management experience: What’s included?
- Goals & Accountability Plan: You need a goal to help alleviate your most pressing issues and lay out your most exciting goals front and center. This will be the blueprint we come back to as we work through the TAPP Framework.
- Tool Inventory: Your tools matter, and we need to review all the tools you’re using and identify which are best serving you, and then take it to the next level. Then comes the exciting part–automations and campaign and project templates you can use over and over again. Currently not using any tools? No problem! I’ll introduce you to my fave tools and get you up and running in no time.
- Team meetings: Stop leading weekly team meetings blindly; let me take the reigns. My team and I will lead weekly (or as-needed) team meetings and regularly check in with team members and contractors, so you don’t have to. Everyone will have what they need to get their job done and done right!
- Streamline: We’ll streamline your processes and work to create and document agency SOPs.
- Train: Get your team members and contractors trained and on the same page so everyone knows how to use the new or improved project templates and processes.
- Strategy calls: We will meet regularly. Not only will I make sure client deadlines and goals are met, but I will make sure YOUR goals are met. I can be your sounding board for new ideas, projects, and goals. And better yet, I’ll project manage them, so they get accomplished!
- Access to my 10 years of agency experience. Overbearing clients, disorganized files, outstanding proposals, time tracking, angry contractors ….yikes! I’m here to jump in when needed and share tips and strategies I’ve used over the years to make it through the troubled waters.
Investment: Starting at $2000 per month, and you begin with a 6-month commitment
